Is attendance at the 10-Year Celebration mandatory?

Attendance is encouraged but not mandatory. If you choose to attend, participation in all scheduled sessions and planned activities is expected.

When should I plan to arrive and depart?

What is included in this trip?

Viz.ai will cover the following for eligible attendees:

  • Round-trip airfare to Barcelona
  • Hotel accommodations for the main program dates (Monday–Thursday)
  • Airport transfers on official arrival and departure dates
  • All scheduled group activities, meals, and beverages during the program

How should I book my flights?

Once your registration is complete details for booking flights will be shared. Guidelines for booking flights will be provided in the link for travel. Please remember that although there is an air fare limit for each attendee, that doesn’t mean you have to use the  entire amount. Please think like an owner and book your flights as if you were paying on your own. Let’s all be fiscally responsible.

Can I book my flights on my own?

No. All flights must be booked through the designated event travel agent using the travel link provided during registration.

Do I need a passport to attend? 

Yes. A valid passport is required for international travel. To comply with airline and immigration regulations, the following requirements apply:

  • Your passport must be valid for at least six (6) months beyond your return date.
  • This requirement applies to all international travel, regardless of destination or length of stay.
  • You are responsible for verifying your passport’s expiration date well in advance of travel.
  • Failure to meet passport requirements may result in denied boarding or entry. Any resulting costs or disruptions will be the traveler’s responsibility.

We strongly recommend renewing your passport immediately if it expires before November 15, 2026.

Cost of obtaining or renewing your passport is the responsibility of the traveler and will not be reimbursed.

Can I extend my stay in Barcelona?

Yes. During registration, you may request a pre- or post-event hotel extension at the W Barcelona.

Extension requests are subject to hotel availability and will be confirmed by the registration team within a few days.

All extensions are at your own expense.

If you are extending at a hotel other than the W Barcelona, please register only for the official program dates (May 4–May 7).

If you extend your flight outside the approved travel dates, any additional airfare cost beyond the approved amount will be your responsibility.

Important Notes:

  • Do not book flights until your extended hotel dates have been confirmed.
  • Employees extending their stay must follow Viz.ai time-off request guidelines and submit requests well in advance.

If I extend my stay, will airport transportation be provided?

Airport transportation will be provided only on the official arrival and departure dates: May 4 and May 7.

If you arrive or depart outside these dates, you are responsible for arranging your own airport transportation.

Attendees included in group transfers will receive instructions for pickup locations and departure details, including a departure notice the evening before leaving the hotel.

Exception:
Employees approved for early arrival or late departure for business reasons will be provided airport transportation for those adjusted dates.

Can I bring a guest?

No, the 10-Year Celebration is intended as a company-wide event for Viz.ai employees to come together and celebrate our shared achievements. While we appreciate the support from loved ones, this trip is designed as an employee only trip.

That said, you may bring guest(s) only during a pre- or post-event extension, at your own expense, with the following guidelines:

For pre-event extensions, guests must depart the hotel by 12:00 PM on Monday, May 4.

For post-event extensions, guests may not arrive at the hotel until 3:00 PM on Thursday, May 7.

Guests may not participate in official event activities.

Is there an expense policy?

Yes. All reimbursable expenses must comply with the Viz.ai Travel & Expense (T&E) Policy, which can be found here:

What is the attire for the event?

There will be various activities but, if you are attending agenda sessions business casual is required. Aside from that casual and resort wear is acceptable.

  • Sessions/Team Building: Tues, May 5
  • CKO/Sessions/Team Breakouts: Wed, May 6 
  • SLT Meeting: Thursday, May 7
  • Main Group Departures: Thurs, May 7
  • SLT Departures: Thursday, May 7 and Friday May 8

What about Health and Travel Insurance?

Are there any specific travel related policies?  

Please review the Participant Agreement below. In the registration tab, you will have an opportunity to confirm acceptance of the Participation Agreement, which is required to attend the event.  By agreeing, you are confirming that you have read, understood, and agree to all terms outlined in the agreement.
